Bookings

Know which bike is free. Not just how many.

Every frame is its own row, with its own size, barcode, service history and calendar. Online, at the counter or by phone, a booking is held against a real bike, by the hour.

Three ways in, one set of rules

However a booking arrives, it gets the same checks.

Terms accepted, waiver signed and frozen at the moment of signing, deposit and balance taken against the reservation. A walk-in and a quote follow exactly the same rules as a storefront checkout.

Online, from your storefront
Checkbox terms and a typed-name waiver before the booking exists. Change the waiver text later and signed bookings keep the version they signed.
At the counter, as a walk-in
Name, email, optional phone, card or cash. The waiver goes to the guest’s own phone by SMS or email, not round a counter tablet.
By phone, as a quote
Bundle a tour and a family rental under one total. Stock is held only once the quote is sent, and accepting converts every line or none of them.

The fleet behind the calendar

Run your bikes like assets, not a stock count.

Because every bike is its own record, you can sell it, price it, move it and retire it without touching a spreadsheet.

Sell a size, or sell that exact bike
Category mode sells "a medium gravel bike". Unit mode gives a special frame its own page, so the guest gets the exact e-bike they chose.
Reprice without upsetting anyone
Move a bike to a different category and confirmed bookings are told: a price rise goes out as a payment link, a price drop is refunded automatically.
Seasonal pricing, tested on your own data
Named date ranges with a price multiplier and a live preview, plus an uplift estimate worked out from your real past bookings, not a stock figure.
Retire a bike, see what it touches
The retirement flow lists the real upcoming bookings on that frame first. Sold bikes keep their history, and the asset register tracks straight-line depreciation.

Scan Station

Built for the morning the Wi-Fi drops.

Scan every bike on a booking in one pass and answer the checklist once. If the connection goes, scans queue on the device and replay when it comes back, with every result shown to staff. Required checklist steps block handover; photo steps always ask for a fresh photo per bike.

After the booking

When the plan changes, the numbers are worked out for you.

Every change shows its real price before anyone agrees to it, and nothing is applied until your team says yes.

Change requests
Reschedules, cancellations and party-size changes land in one board, each with a computed price impact before you approve it.
Refunds from the booking’s own terms
Worked out from the cancellation window and rate the guest booked on, checked again right before Stripe is charged. RideLoop refunds its commission alongside.
Sold out isn’t the end
Guests join a waitlist for a size. When one frees up, the next in line gets a checkout link with the bike held for four hours.

Take your first booking this week.

Start on the free plan, bring your fleet across, and switch the diary off when you are ready.
