01What a waiver usually covers
- Who is riding, including each rider on a group booking, not just the person who paid.
- The risks of the activity, in plain words.
- The rider’s responsibilities: helmet use, following the route or guide, reporting damage.
- What happens if equipment is lost or damaged, and how the deposit is used.
- Consent to emergency treatment, and how you’ll handle the rider’s data.
This is practical guidance, not legal advice. Have a solicitor review your waiver wording for your country and activity.

02Ask for it before the guest arrives
Send the waiver with the booking confirmation, so guests sign at home on their own phone. Those who haven’t signed by the day get a reminder. The counter is left for the few who still need it.
03Keep exactly what they agreed to
If you edit your waiver next season, last season’s guests agreed to last season’s text. Store a frozen copy of the wording with each signature, alongside the name, time and device, so you can show exactly what was agreed and when.
Rule of thumb
One waiver per rider, per booking, with the exact text they saw.
04Don’t forget walk-ins and phone bookings
Walk-ins and phone bookings are where waivers usually go missing. Send the waiver to the guest’s phone by text or email while you take their details, and don’t hand over the bike until it’s signed.
A five-minute check
Does every rider on a group booking sign, not just the lead booker?
Can guests sign before they arrive?
If you change the wording, do old signatures keep the old text?
Do walk-ins sign on their own phone?
Does a missing waiver stop the handover?
How RideLoop handles it
RideLoop collects a typed-name waiver per booking, with the waiver text frozen at the moment of signing. Phone bookings get a “sign later” link, and walk-ins receive the waiver on their own phone by SMS or email. Scan Station shows waiver status at handover, so a missing signature is caught at the counter.
